How to edit a tachograph record

Edit a tachograph record whenever the device’s details change. The most common reason is recalibration — EU regulations require tachographs to be recalibrated every two years, so you’ll update the calibration dates and upload a new certificate each time.

Common reasons to edit:

  • After recalibration — update the last calibration date, the new expiry date, and attach the new certificate.
  • Vehicle reassignment — the device has been moved to a different vehicle (e.g. after a vehicle swap or workshop loan vehicle).
  • Data correction — you entered the wrong serial number, type, or workshop name.
  • Adding a missing certificate — you created the record without the PDF and now want to attach it.

Step 1 — Open Tachographs

From the left-hand menu, click My Fleet → Tachographs.

Step 2 — Click the edit icon

Find the tachograph row and click the pencil (✏️) icon on the right side of the row. The same form you used when creating the record opens, pre-filled with the current values.

Step 3 — Update the relevant fields

After recalibration (most common):

  1. Update Last calibration date to the date the workshop performed the calibration.
  2. Update Calibration valid until to the new expiry date (typically two years ahead).
  3. Click the file upload area next to Upload calibration certificate and attach the new certificate PDF. The previous file is replaced.
  4. Update Authorized workshop if a different workshop did the work.

After a vehicle reassignment:

  • Change the Vehicle dropdown to the new vehicle.

Other corrections:

  • Adjust Name, Serial number, Type, Status, or Notes as needed.

Note — download history is not affected by edits. Changing calibration dates or the linked vehicle does not alter the download history records. To update a specific download entry, see Log a tachograph download.

Step 4 — Save

Click the purple Save button. The list updates immediately to reflect the new calibration dates and status badge.

If you updated Calibration valid until to a future date, the status badge changes back to VALID (green) if it was showing as expired.
