How to add a unit

Units let you organise your fleet into departments, regions, or subsidiaries — for example: Management, Europe, or Warehouse Team. Beyond organisation, units control access: when you assign a fleet manager to a unit, that manager can only see and manage the vehicles that belong to that unit.

What units are for

ScenarioHow units help
Regional fleetsCreate a unit per country or city. Assign regional managers so they only see their own vehicles.
Departmental fleetsSeparate Sales, Logistics, and Executive vehicles. Each department manager sees only their pool.
SubsidiariesGive subsidiary admins access to their own vehicles without exposing the parent company’s fleet.

Two key rules govern how units work:

  • One unit per vehicle. Each vehicle belongs to exactly one unit at a time. You cannot split a single vehicle across multiple units.
  • Unassigned managers see everything. A fleet manager who is not assigned to any unit has access to the entire fleet. Assign managers to a unit only when you want to restrict their access.

Step-by-step: adding a unit

  1. Go to Settings → Units.
  2. Click the Add unit button (top right of the page).
  3. Fill in the form fields described below.
  4. Click Save to create the unit, or Save and add new to save and immediately open a blank form for the next unit.

Form fields

Name (required)

Enter a short, descriptive label for the unit — for example North Region, Warehouse, or Executive Pool. This name appears in tables, dropdowns, and filters throughout the admin.

Vehicles

Click the Choose vehicles selector and pick one or more vehicles that belong to this unit. You can search by vehicle name or registration plate. Each vehicle you select here is removed from any other unit it was previously assigned to, because a vehicle can only belong to one unit.

Leave this field empty if you want to set up the unit’s access rules first and assign vehicles later.

Administration

Click the select_members selector and pick the fleet managers or team members who should be restricted to this unit.

Important: selected users will only have access to vehicles assigned to this unit. If you add a manager here and there are no vehicles in the unit yet, that manager will see an empty fleet.

Leave this field empty if you want the unit to act as an organisational grouping only, without restricting any manager’s access.

After saving

The new unit appears in the Settings → Units table with columns for Name, Created, Vehicles (count), and Administration (count of assigned team members).

Any manager you assigned to the unit will immediately lose access to vehicles outside it. Any vehicle you assigned to the unit will immediately become invisible to managers who are restricted to a different unit.
