How to export your vehicle list
📝 Beta article — this article is part of our new help center. If a step doesn’t match what you see in Movcar, let us know — we’re refining the content daily.
Three common reasons to export your vehicle list:
- Backup — keep a snapshot before a major change (bulk edit, plan downgrade, switching units).
- Insurance / audit reporting — share the full fleet inventory with your insurer, accountant, or auditor in a format they can work with.
- Template for import — the export file is the template the import expects (see How to import vehicles from Excel).
Step 1 — Open Vehicles
My Fleet → Vehicles. The export will include all vehicles currently visible in the list — apply any filters first if you want a subset (e.g. only Active, only one unit, only one fuel type).
Step 2 — Click “Export data”
Top-right, click Export data. A modal opens.
Step 3 — Pick a format
Type dropdown:
- XLSX — modern Excel format. Recommended for most uses (formula support, multiple sheets).
- XLS — older Excel format. Use only if you’re working with very old Excel versions.
- CSV — plain text, no formatting. Useful if you’re going to feed the file into Python, another system, or Google Sheets.
Step 4 — Click “Run Action”
Movcar generates the file and your browser downloads it. Filename is typically vehicles_YYYY-MM-DD.xlsx.
What’s in the file
The export captures every field stored against each vehicle:
- Identification: License plate, VIN, Internal ID, Model, Model details
- Status & dates: Status, First registration date, Acquisition date, Activation date
- Engine: Fuel type, Power (kW / HP), Engine capacity, CO₂ emissions, Euro Norm
- Refrigeration Unit (if applicable): manufacturer, model, serial number
- Owner & leasing: Owner, Assigned driver, Leasing contract number, Color, Registration certificate number
- Tires: Tire size, Load index, Speed index
- Unit / Group assignments
Plus the header rows the import requires — see How to import vehicles from Excel for what those look like.
💡 Tip — Filter before exporting — if you only need vehicles from one unit, fuel type, or status, set the filter on the list first. The export respects the filters, so the resulting file is exactly what you see on screen.
