How to connect a driver to a vehicle
📝 Beta article — this article is part of our new help center. If a step doesn’t match what you see in Movcar, let us know — we’re refining the content daily.
A driver–vehicle link is the bridge that lets Movcar attribute activity correctly. Once a driver is linked to a vehicle:
- Refuellings logged from the mobile app are auto-tagged with the vehicle.
- Routes logged via the app inherit the vehicle automatically.
- Mileage updates push to the vehicle’s odometer.
- Handover protocols pre-fill both the driver and the vehicle.
- Reports (fuel consumption per vehicle, P&L per vehicle, route per vehicle) include the right entries.
There are two ways to set the link. Pick whichever side you’re already on.
Option A — From the vehicle’s edit form
This is the most common path when you’re adding a new vehicle and you already know which driver it’s for.
Step 1 — Open the vehicle
My Fleet → Vehicles, find the vehicle, click ✏️ to open the edit form.
Step 2 — Find the Vehicle Driver field
Scroll to the Owner & leasing details section. The Vehicle Driver dropdown lists every driver currently in the system.
⚠ Driver must exist first — if the driver isn’t in Movcar yet, you’ll see a prompt: “Please assign a driver to this vehicle using the Drivers folder.” Add the driver first via My Fleet → Drivers → + Add (see How to add a new driver), then come back here.
Step 3 — Select the driver and Save
Pick the driver from the dropdown, then click Save in the top-right. The link is active immediately.
Option B — From the driver’s edit form
Use this path when you’re onboarding a driver and assigning them their first vehicle.
Step 1 — Open the driver
My Fleet → Drivers, find the driver, click ✏️.
Step 2 — Find the Assigned vehicle field
In the driver’s edit form, the Assigned vehicle dropdown lists every active vehicle in your fleet (archived vehicles don’t appear).
Step 3 — Select the vehicle and Save
Pick the vehicle, click Save. The link is set from both sides — opening the vehicle’s edit form afterwards will show the driver in the Vehicle Driver field.
How to change or remove the link
Same flow as above — open either side, change the dropdown to a different driver/vehicle (or clear it entirely), Save.
💡 Tip — One driver, multiple vehicles — a driver can be linked to several vehicles over time. The current link is what counts for app pairing and live attribution; past links stay in the vehicle’s history and in past records.
What about driver pairing in the mobile app?
The Vehicle Driver field is not the same as the driver–app pairing. The Vehicle Driver field is the attribution link (who’s responsible for the vehicle). The mobile-app pairing uses App Connection Codes — see Understanding and setting App Connection Codes.
In practice, when you set the Vehicle Driver and the driver opens the mobile app, the app uses the App Connection Code on the vehicle to confirm the pairing. Both pieces work together.
What’s next?
- Set the App Connection Code on the vehicle so the driver’s mobile app can pair to it.
- Connect the driver to the mobile app — send them the connection code.
- Assign a fuel card to the same vehicle — refuellings will then auto-link to the card too.
