How to assign a fuel card to a vehicle

📝 Beta article — this article is part of our new help center. If a step doesn’t match what you see in Movcar, let us know — we’re refining the content daily.

A fuel-card link is what makes fuel-consumption tracking work. Once a card is linked to a vehicle:

  • Refuellings logged in Movcar can be auto-tagged with the card number.
  • The Fuel Consumption Report knows which card spent how much against which vehicle.
  • Reconciling the fuel supplier’s statement against Movcar refuellings becomes a few-second job, not a spreadsheet exercise.

There are two paths. Either works — pick whichever side you’re already on.

Option A — From the vehicle’s edit form

Step 1 — Open the vehicle

My Fleet → Vehicles, find the vehicle, click ✏️.

Step 2 — Find the fuel card field

In the edit form, look for the Fuel card dropdown (typically inside the Owner & leasing details or a dedicated Fuel card sub-section). It lists every fuel card currently in your workspace.

⚠ Card must exist first — if the card isn’t in Movcar yet, add it via My Fleet → Fuel cards → + Add first. See How to add a fuel card.

Step 3 — Select the card and Save

Pick the card, click Save. The link is active immediately.

Option B — From the fuel card’s edit form

Step 1 — Open the fuel card

My Fleet → Fuel cards, find the card, click ✏️.

Step 2 — Find the assigned vehicle field

The fuel card’s edit form has an Assigned vehicle dropdown (and often an Assigned driver dropdown alongside it). Pick the vehicle.

Step 3 — Save

Click Save. The link is set from both sides — the vehicle’s edit form now shows the card in its Fuel card field.

Card-to-driver vs. card-to-vehicle

Some fleets assign fuel cards to drivers (the card travels with the person). Others assign cards to vehicles (the card stays in the glove box). Movcar supports both:

  • Card linked to vehicle — every refuelling against that card auto-tags the vehicle. Best when one vehicle, one card.
  • Card linked to driver — every refuelling against that card auto-tags whichever vehicle the driver is currently using. Best when drivers rotate vehicles but always use the same card.
  • Card linked to both — strongest data; use when the assignment is stable.

See Linking a fuel card to a vehicle or driver for the full breakdown.

How to change or remove the link

Same flow — open either side, change the dropdown (or clear it), Save. If you swap the card between vehicles mid-month, future refuellings tag the new vehicle; past refuellings stay tagged to the old one.
