How to view a vehicle handover protocol

Every vehicle handover you record in Movcar gets a permanent, printable protocol. This guide explains how to find a specific protocol, what the detail view shows, where to collect the two required digital signatures, and how to print a hard copy.

What the protocol number means

Every handover protocol is assigned a unique identifier in the format MOV-XXXXXX (e.g. MOV-262873) the moment you save it. This number appears on the printed document and can be used to refer to the record in audits or disputes.

Step 1 — Open the Handovers list

From the left-hand menu, click My Fleet → Vehicle Handovers, then make sure the Handovers tab is selected.

The list shows one row per protocol with these columns:

Step 2 — Filter or search (optional)

If you have many records, use the Hide archived data filter at the top of the list. Tick Archived to show only archived protocols, or leave it unticked to see active ones only.

Step 3 — Open the detail view

Click the eye icon (👁) at the right end of the row you want to view. The full detail view opens.

What the detail view shows

The detail view displays every field captured during creation, plus additional context:

Vehicle information

  • Company
  • Vehicle (licence plate / name)
  • VIN

Handover details

  • Registration date
  • Handover type (Vehicle Release or Vehicle Return)
  • Person issuing the vehicle
  • Person receiving the vehicle
  • Detached from (if a previous assignment was ended)
  • Does the vehicle have damage? (Yes / No)
  • Odometer reading
  • Cleanliness — Outside and Inside separately
  • Vehicle equipment checklist (including fuel card numbers and PINs where applicable)
  • Fuel level
  • Message / notes
  • Status
  • Attachment

Legal and signatures section

At the bottom of the detail view you will find:

  • Vehicle handover: Legal notice — the standard legal statement accompanying the protocol.
  • Driver legal statement — the driver’s declaration.
  • Person issuing the vehicle (Signature) — a handwritten digital signature field for the issuing party.
  • Person receiving the vehicle (Signature) — a handwritten digital signature field for the receiving party.

Both parties should open the detail view on a touch screen or signing device and sign in their respective signature boxes before the protocol is considered complete.

Step 4 — Print the protocol

Click the Print button (🖨️) in the top-right corner of the detail view. Movcar opens a print-ready version of the protocol that includes all fields and the collected signatures. Use your browser’s print dialog to save it as a PDF or send it to a printer.
