Viewing handover history
📝 Beta article — this article is part of our new help center. If a step doesn’t match what you see in Movcar, let us know — we’re refining the content daily.
Movcar keeps every handover and drop-off / pick-up record indefinitely — none of them are ever auto-deleted. The Handovers list is the history. Here’s how to navigate it.
Step 1 — Open Vehicle Handovers
Left-hand menu: My Fleet → Vehicle Handovers. The page has two tabs:
- Handovers — full two-party signed protocols. See How to create a vehicle handover protocol.
- Drop-off / Pick-up — single-driver depot returns and collections. See Vehicle drop-off and pick-up.
Both tabs show their records newest-first by default.
Step 2 — Find the record you want
Filters available at the top of each list:
| Filter | What it narrows by |
|---|---|
| Vehicle | All handovers involving a specific vehicle (incoming or outgoing). |
| Driver | All handovers where this driver was the issuer or receiver. |
| Date range | Records within a From / To window. |
| Status | New, Signed, Completed, etc. depending on the protocol. |
For a “show me everything that ever happened to vehicle X” audit, use the Vehicle filter and switch tabs to see both Handovers and Drop-offs.
Step 3 — Open the detail view
Click the eye icon (👁) at the right end of the row. The detail view shows every field on the record, both parties’ signatures (if a full handover), the protocol number, and the attachment if one was uploaded.
Step 4 — Re-download the signed protocol
For full handovers, the detail view has a Download PDF action that re-generates the signed protocol document — the same MOV-XXXXXX PDF that was produced when the handover was first signed.
Drop-off / pick-up records don’t have a signed PDF — see Vehicle drop-off and pick-up for the differences.
What stays in the history
- Vehicle and driver references — even if the vehicle or driver was later archived or deleted. The handover keeps the names as they were at the time.
- Protocol PDF — for signed handovers, the PDF is preserved.
- Attachments — photos uploaded against the record.
- Signatures — both parties’ digital signatures stay in the record.
When to use the handover history
- Damage dispute — “the vehicle came back to me with a scratch” — find the most recent handover-out, check the damage description and photos, compare with current state.
- Compliance audit — produce a list of every vehicle assignment over a period.
- Driver review — see how often a specific driver hands over a vehicle and to whom.
What’s next?
- Create a handover protocol — for a new assignment or return.
- View a handover protocol — open one specific record.
- Vehicle drop-off and pick-up — the lighter alternative.
