Handovers from the driver mobile app

When a driver hands a vehicle over to another driver (or returns it to a depot) and there’s no fleet manager physically present, the Movcar driver mobile app can capture the protocol end-to-end — photos, odometer, damage assessment, signatures — and push the completed record straight into your admin Handovers list.

How a driver-initiated handover gets here
- Driver A and Driver B meet with the vehicle being transferred. Or Driver A returns the vehicle to a depot alone (drop-off variant).
- Driver A opens the Movcar app, taps Handover, picks the vehicle, fills in the form (odometer, fuel level, cleanliness, damage, equipment, photos).
- Both parties sign on the phone screen with their finger. (For depot drop-offs, only the driver signs.)
- The app generates the protocol PDF and uploads it to Movcar.
- The record appears in your admin within seconds, in either the Handovers tab (full two-party) or the Drop-off / Pick-up tab (single driver), depending on what the driver picked.
The admin doesn’t need to do anything to enable this — if a driver is paired to a vehicle via the App Connection Code, they can initiate handovers from the app.
What you see in the admin
Open My Fleet → Vehicle Handovers. Driver-initiated records look identical to admin-created ones, with one giveaway:
- Source column (where present) shows Mobile app instead of Admin.
- Created by shows the driver’s name, not a fleet-admin user.
- Photos are always attached (the app makes them mandatory).
- Both signatures are present on full handovers — the app refuses to submit without them.
Click 👁 to open the detail view. Everything is there: odometer, damage, photos, signatures, generated PDF.
What you can do with it
The admin-side actions are the same as for any handover:
- Download the PDF — produced when the driver signed; identical to admin-created protocols.
- View attachments — driver photos are visible inline.
- Edit the record — if the driver made a typo (rare; the app validates most fields).
- Delete — only if it was a test submission.
The signatures and PDF are legally equivalent to a pen-and-paper signed handover in most jurisdictions — see your insurer or legal team for confirmation in your country.
When driver-app handovers are best
- Late hours / shift handovers when no admin is on site.
- Inter-driver transfers at a location far from the office.
- Depot returns at the end of a long-distance trip.
When the admin is present, the admin-created flow (see How to create a vehicle handover protocol) is fine too.
What if the driver does the handover wrong
Common driver mistakes:
| Mistake | Fix |
|---|---|
| Wrong vehicle picked in the app | Edit the record in the admin (✏️ in the row). |
| Odometer mistyped | Edit. |
| Damage missed in the photos | Add a follow-up note in Message, attach extra photos. Don’t try to forge the original. |
| Both parties signed but the wrong driver was named | Delete and ask the drivers to redo it in the app — admin can’t change signatories. |
