How to schedule a service visit
A Service Visit in Movcar represents one trip to the workshop — a wrapper around the individual operations performed that day. Use this whenever your vehicle goes in for service and multiple things get done in one go.
Step 1 — Open Service Visit
From the left-hand menu, click Service → Service Visit. You’ll see your log of past visits with + Add in the top-right.
📌 Worth knowing about the name — the section is “Service Visit” (singular) and the URL is
/admin/resources/vehicle-services. The plural “visits” is used informally; both refer to the same thing.
Step 2 — Click “+ Add”
The new-visit form opens.
Step 3 — Fill in the required fields
Two fields are required:
- Service date
*— when the visit happened (defaults to today). - Vehicle
*— which car was serviced.
Step 4 — Capture the visit context (optional but useful)
| Field | Why it matters |
|---|---|
| Odometer | Reading at the visit. Used by service plans for next-revision calculations. |
| Driver | Who brought the vehicle in. Useful for reports. |
| Service address | Workshop address. The Use map button next to the field opens a map picker. |
| Service Name | E.g. “Authorised Manufacturer Service”, “TopLac”, “Bosch Car Service”. Free text — used to group visits by provider. |
Step 5 — Add the operations performed
In the Service operations section, click + Add Item for each operation done during the visit:
- Oil Change
- Brake Pads Replacement: Front
- Air Filter Replacement
- etc.
Each operation gets its own row with its own expense. You can also fill in next-revision dates per operation here.
💡 Tip — Operations added inside a Service Visit automatically appear in Service Operations too — no need to log them twice. The visit becomes the parent record.
Step 6 — Notes and attachments
- Notes — free text for anything special (warranty claim, complaints, recommendations).
- Attachment — the workshop invoice or any other supporting document.
Step 7 — Save
Top-right, click Save. The visit appears at the top of the Service Visit list.
What happens next
Once saved:
- The vehicle’s maintenance cost report updates with the total of all operation expenses.
- The Status Overview dashboard recalculates next-due dates for any operations linked to a Service Plan.
- The Odometer value flows into the vehicle’s mileage history (if it’s higher than the last reading).
What’s next?
- Edit a service visit to add operations you forgot or fix details
- Track upcoming service visits to plan workshop time
- Cancel a service visit if a planned visit didn’t happen
