How to log a service operation
Service operations in Movcar are individual maintenance jobs — one row per task done. They’re the building block: a Service Visit groups several operations done during the same workshop trip; a Service Plan schedules them recurringly. This guide covers logging an ad-hoc operation directly.
When to use Service Operations vs Service Visits
| Use Service Operation when… | Use Service Visit when… |
|---|---|
| You did one quick thing yourself or at a quick-stop (oil top-up, wiper change) | Multiple operations were done in one workshop visit (oil + filter + brakes) |
| You’re back-filling a single past job | You want to record the full bill, address, and operations together |
If you started with a Service Visit, the operations inside it get auto-created here — you don’t need to log them twice.
Step 1 — Open Service Operations
From the left-hand menu, click Service → Service Operations. You’ll see your log of operations with + Add in the top-right.
Step 2 — Click “+ Add”
The new-operation form opens.
Step 3 — Fill in the required fields
Two fields are required:
- Vehicle
*— which vehicle the work was done on. - Operation
*— type the operation name or pick from suggestions (e.g. “Oil Change”, “Brake Pads Replacement: Front”, “Alternator Replacement”). The dropdown shows operations used before in your fleet and lets you add a new one inline.
Step 4 — Add the useful optional fields
| Field | Why it matters |
|---|---|
| Odometer | Reading at the time of the operation. Used by service plans to know when next-revision is due. |
| Next revision date | When this same operation should be done again. Drives reminders. |
| Next revision at mileage | Or define the next revision by km — e.g. “oil change next at 145,000 km”. |
| Send reminder for | Pick Next revision date, Next revision at mileage, or Both. Movcar will notify you. |
| Notes | Free text. Useful for parts numbers, supplier notes, warranty info. |
| Attachment | Scan of the receipt or warranty paper. |
💡 Tip — If you’ve defined a Service Plan for this operation type (e.g. “Oil Change every 10,000 km”), Movcar pre-suggests the next-revision values based on the plan — you can override.
Step 5 — Expenses (optional)
Below the main fields is an Expenses section where you can log the cost. Movcar uses this to calculate per-vehicle maintenance cost over time. Currency, value, and category are typical fields — fill them in if you have the bill.
Step 6 — Save
Top-right, click Save. A green confirmation toast appears and the operation is added to your log.
If you set Next revision date or Next revision at mileage, this operation now appears in the Status Overview dashboard with an UPCOMING badge — see How to read the Status Overview.
