Using the Profit & Loss Report

The Profit & Loss Report gives you a per-vehicle financial breakdown — income vs. expenses vs. net result — across a full calendar year.

Where it lives

From the left-hand menu, click Reports → P&L Report (URL: /admin/resources/profit-report).

Reading the table

The table has one row per vehicle and monthly columns (Jan–Dec) plus a Total column. Each monthly cell shows three figures:

Row valueWhat it represents
IncomeRevenue recorded against that vehicle for the month
ExpensesCosts recorded against that vehicle for the month
NetIncome minus Expenses

Negative net values (losses) are displayed in red, making it easy to spot problem vehicles at a glance.

Filters

FilterUse
Pojazd (Vehicle)Narrow to a single vehicle
Kategoria wydatków (Expense category)Limit expenses to one category (e.g. fuel, service)
Kategoria dochodów (Income category)Limit income to one category (e.g. rental, transport)
Rok (Year)Switch calendar year
Miesiąc (Month)Show only one month’s column
Waluta (Currency)Choose EUR, PLN, or RON
Jednostka (Unit)Show vehicles from one organisational unit
GroupShow vehicles in a named group

Combining Expense category and Income category filters lets you isolate a specific cost type or revenue stream across the fleet.

When this report is most useful

The P&L Report works best when both income and expenses are actively tracked in Movcar. It is particularly valuable for:

  • Rental fleets — compare rental revenue against maintenance, fuel, and insurance costs per vehicle.
  • Company car leasing — see which leased vehicles generate net value vs. which exceed their cost budget.
  • Taxi and transport businesses — track per-vehicle revenue against operational costs to optimise the fleet size.

If only expenses are logged (no income), the Net column will always show a loss equal to expenses — which is still useful for cost-only fleet management.

Common tasks

Find the most profitable vehicles — sort by the Total net column (highest to lowest) to see which vehicles contribute the most.

Identify cost drains — look for persistent red cells across multiple months on the same vehicle row. That vehicle may warrant early disposal or a pricing review.

Monthly finance review — filter by the current month and export for inclusion in a finance report.

Category drill-down — set Expense category to a single type (e.g. fuel) and compare across all vehicles to find outliers.
