How to generate a report

📝 Beta article — this article is part of our new help center. If a step doesn’t match what you see in Movcar, let us know — we’re refining the content daily.

Movcar’s reports are one-click — open the report you want, click Download, you’re done. This article covers the generic workflow. For what each report actually contains, see the deep-dives linked from Available reports — an overview.

Step 1 — Open the report

From the left-hand menu, expand Reports. You’ll see the list of available reports. Click the one you want.

📌 A report is greyed out? — your plan tier doesn’t include it. See Available reports — an overview for the plan requirements, or How to upgrade your plan to unlock more.

Step 2 — Set date range (where applicable)

A handful of reports — Mileage, Route, Expense, Revenue, P&L — have a date range picker at the top of the page. Defaults vary:

  • Most default to the current month.
  • Some default to “all time” (Vehicle Report, Driver Assignment Report).

Pick:

  • From date.
  • To date.

Reports without a date range (Vehicle, Document Compliance) ignore this — they always show current state.

Step 3 — (Optional) Set filters

A few reports have lightweight filters:

  • By vehicle — narrow to one vehicle or a unit.
  • By driver — narrow to one driver.
  • By category — Expense Report only — narrow to one expense category.

Most reports have no filters at all. They just dump the full dataset for the period.

Step 4 — Click “Download Excel”

The primary action button on every report page is Download Excel. Click it. Your browser downloads the file immediately. Filename follows the pattern <report-name>_YYYY-MM-DD.xlsx.

That’s the whole generate-a-report flow.

What you’ll see in the file

Each report’s deep-dive lists the columns it produces. As a general rule:

  • Row per entity (vehicle, driver, route, refuelling, etc.) depending on the report’s grain.
  • Numeric columns are typed as numbers, not text — formulas in Excel work immediately.
  • Dates are typed as dates in your workspace’s locale.

What if the file is empty

Two common causes:

  1. The underlying data doesn’t exist. Fuel Consumption Report shows nothing if no refuellings are logged. Mileage Report shows nothing if no mileage entries. Log the data first.
  2. Date range too narrow. Widen the From/To dates.

Reports vs. exports from other sections

Don’t confuse the Reports section with the Export data button that appears on most lists (Vehicles, Drivers, Refuellings, etc.):

Reports sectionExport data on a list
PurposePre-built analytical viewRaw dump of the current list
LayoutCurated columns, often summarisedEvery field stored against each record
FiltersLimited, report-specificAll the list’s filters apply
OutputExcel (most), sometimes PDFXLSX / XLS / CSV

If your question is “What’s our fuel cost trend?” — use the Fuel Consumption Report. If it’s “Give me every refuelling exactly as I see it on screen” — use Export data on the Refuellings list.

Scheduling reports (Premium / Corporate)

You can have any of the reports emailed to you (or a colleague) on a recurring schedule — daily, weekly, monthly. See Scheduling a recurring report by email.
