Using the Fuel Consumption Report

The Fuel Consumption Report lets you analyse fleet fuel spend and efficiency across an entire year, per vehicle, with monthly granularity.

Where it lives

From the left-hand menu, click Reports → Fuel Reports (URL: /admin/resources/fuel-consumption-reports).

The page has two tabs at the top:

TabURLWhat it shows
Fuel Reports/admin/resources/fuel-consumption-reportsFuel volume and cost per vehicle per month
Fuel Costs by Type/admin/resources/expenses-fuel-reportMonthly fuel spend broken down by fuel grade

Fuel Reports tab

Choosing a report type

Use the Report type filter to switch between four views:

Report typeUnit
Total fuel consumptionLitres per vehicle per month
Total fuel costCost in the selected currency per month
Average fuel consumption per 100 kml/100 km
Average cost per 100 kmCurrency/100 km

All four use the same table layout — switch the type to change what the monthly cells represent.

Reading the table

The table has one row per vehicle and one column per calendar month (Jan–Dec), plus a Total column on the right.

ColumnContents
BrandVehicle make
ModelVehicle model
Registration numberVehicle plate
Jan – DecValue for that month in the selected report type
TotalSum across all months shown

Cells that contain data show a Details link. Click it to drill into the individual refuelling entries recorded for that vehicle in that month — useful when a figure looks unexpectedly high or low.

Fuel Costs by Type tab

This tab uses the same monthly structure as the main tab but breaks each vehicle’s fuel spend down by the grade of fuel purchased — for example, Diesel, Petrol 95, or LPG. Use it when your fleet runs on mixed fuel types and you need to report or budget by grade.

Common use cases

  • Monthly fuel budget review — open Total fuel cost, set the current year, export to share with finance.
  • Efficiency monitoring — switch to Average fuel consumption per 100 km and sort to find vehicles with unexpectedly high consumption.
  • Investigating a spike — click Details on the outlier cell to see the individual refuelling records behind the number.
  • Fuel-grade cost split — use the Fuel Costs by Type tab to separate diesel vs petrol spend across the fleet.
