How to export a report (PDF / Excel)
📝 Beta article — this article is part of our new help center. If a step doesn’t match what you see in Movcar, let us know — we’re refining the content daily.
Movcar reports are output-first — the page mostly exists to produce a file. Two formats are supported, with different best-fits.
Excel (.xlsx) — the default
Every report has a Download Excel button. Click it, file downloads immediately.
Best for:
- Further analysis — sorting, filtering, formulas, pivot tables.
- Sharing with accounting — accountants live in Excel.
- Combining with other data — paste columns next to your own spreadsheets.
Each report’s Excel file has typed columns (numbers as numbers, dates as dates), so formulas and sorting work without conversion.
PDF (where available)
Some reports — primarily the Profit & Loss Report and the Document Compliance Report — also have a Download PDF button. The PDF is a print-ready, styled version of the same data.
Best for:
- Print and sign — send a printed P&L to your accountant or board.
- Email attachments — a 2-page PDF is friendlier than a 50-column XLSX.
- Read-only sharing — recipients can’t accidentally alter the numbers.
📌 PDF is a derived view — the PDF doesn’t include every column the Excel file has. It’s a summary. For full data, use Excel.
Step-by-step
- Open the report (Reports → \[Report Name\]).
- Set date range and filters if applicable.
- Click Download Excel or Download PDF.
- The file downloads to your browser’s default folder.
Filename pattern
- Excel:
<report-name>_YYYY-MM-DD.xlsx(e.g.profit-loss_2026-05-28.xlsx) - PDF:
<report-name>_YYYY-MM-DD.pdf
The date in the filename is the date you generated the report, not the date range you picked.
Bulk-exporting many reports
There’s no “Download all reports” button. To get a full set:
- Open each report.
- Set the same date range.
- Click Download on each.
Or — automate it with scheduled reports (Premium / Corporate). Configure each report once with the cadence and recipients, Movcar emails them to you automatically. See Scheduling a recurring report by email.
What’s not exportable
- Visualisations — Movcar’s reports are tabular. There are no charts to export. If you want charts, generate them in Excel from the downloaded data.
- Live links to records — Excel files contain text values for vehicle plates, driver names, etc. They’re not clickable links back into Movcar.
- Attachments — financial-entry PDFs, claim PDFs, document scans don’t ship inside the report file. Download those individually from each record.
What’s next?
- Scheduling a recurring report by email — automate the export.
- Available reports — an overview — pick the right report first.
