Understanding reported claims

The Reported Claims section (left-hand menu: My Fleet → Reported Claims, URL /admin/resources/accidents) is Movcar’s central log of every accident or incident that a driver has reported through the Movcar mobile app. The admin is read-only — claims are created exclusively by drivers in the app, not by fleet administrators.

How a claim gets here

  1. Driver is involved in an incident. While on a trip or immediately after, the driver opens the Movcar mobile app and files a claim report, filling in the event details, damage description, and any photos.
  2. Movcar generates a PDF report. The app packages everything the driver entered into a standardised claim document.
  3. The claim appears in the admin. Within moments, it shows up in the Reported Claims list with an auto-assigned Movcar ID and a timestamp.
  4. Your fleet email receives a copy. All claim details are sent automatically to the email address registered to your fleet. You do not need to be logged in to the admin to be notified.

Because the entire intake happens on the driver’s side, the admin list is purely informational — there is no “New” button and no way to edit a claim once it is submitted.

The Movcar claim ID vs the insurer claim number

Two different identifiers appear for every claim, and they serve different purposes.

When a claim first arrives, the Claim Number column shows a dash (—). That is expected — the insurer hasn’t been contacted yet. Once you file with the insurer and receive a reference number, track it in your own insurer’s system. Movcar does not provide a field for entering the insurer’s claim number after the fact.

Use the Movcar ID when you need to refer back to a specific submission (for example, when communicating with your insurer, attach the Movcar PDF and quote the ID).

Claim types

The Type of Claim field tells you which insurance policy the driver indicated when filing. Common values are:

  • AC (CASCO) — own-damage insurance covering the fleet vehicle itself.
  • OC / TPL (Third-Party Liability) — liability for damage caused to another person or their vehicle.

The driver selects the claim type in the mobile app at the time of reporting. If the wrong type is selected, this cannot be corrected in the admin.

What you see in the list

Each row in the Reported Claims table shows:

What to do when a claim arrives

Movcar notifies you automatically, but the follow-up is still manual:

  1. Review the claim details. Open the row to see the full detail view and confirm the vehicle, driver, event date, and claim type match what you expect.
  2. Download the PDF. The Movcar claim report is the primary document you’ll hand to your insurer. Save or forward it immediately.
  3. File with your insurer. Contact the insurance company listed in the claim and submit the PDF along with any additional documentation they require.
  4. Track the insurer’s reference number externally. Once the insurer assigns a claim number, record it in your insurer’s portal or your own records — this number does not flow back into Movcar.
  5. Monitor the vehicle. If the vehicle needs repairs, create a Service Visit in Movcar to keep the maintenance history complete.

What reported claims are not

  • They are not editable in the admin.
  • They cannot be created by the admin — only by drivers using the mobile app.
  • They do not automatically update when the insurer processes the claim.
  • They are not linked to the Documents section; if you want to store the insurer’s decision or repair invoice, do so under My Fleet → Documents.
