How to log a refuelling

Refuellings in Movcar do three things at once: track fuel cost per vehicle, track fuel consumption efficiency, and (with one click) keep the vehicle’s mileage history up to date. This guide walks through logging one.

📌 Worth knowing about the URL — the menu item is called Refuellings, but the URL is /admin/resources/fuel-consumptions. Internally Movcar uses the term fuel consumption; in the UI it’s refuelling. Same thing.

Step 1 — Open Refuellings

From the left-hand menu, click My Fleet → Refuellings. You’ll see your refuelling history with search, filter, Import, Export and + Add at the top-right.

Step 2 — Click “+ Add”

The form opens with three sections: Refuel Details, Vehicle Information, and Fuel Information.

Step 3 — Fill in the required fields

Only two fields are strictly required:

  • Vehicle * (Vehicle Information section) — pick from the dropdown. Required because every refuelling has to be attributed to a vehicle.
  • Currency * (Fuel Information section) — pick the currency the bill was paid in. Required so Movcar knows how to total your spend.

Everything else is optional but useful — see the next steps.

Step 4 — Refuel Details (when and where)

Step 5 — Vehicle Information (odometer + auto-mileage)

Pick the Vehicle from the dropdown. Two extra fields appear:

  • Odometer — odometer reading at the time of refuelling (in km).
  • Register value also in “Mileage” sectionchecked by default. When on, Movcar uses your odometer reading to create a matching entry in My Fleet → Mileage automatically. Most teams leave this on so they don’t have to log mileage twice.

💡 Tip — If you log refuellings consistently, you barely need to touch the Mileage section at all — the odometer values flow through automatically.

Step 6 — Fuel Information (what and how much)

  • Fuel type — Diesel, Petrol, Electricity (EV), Ethanol (E85), Methanol, etc. Pick from the dropdown.
  • Total Value — total amount paid.
  • Fuel Quantity — litres (or kWh for EV).
  • Fuel unit price — auto-calculated when you fill Total + Quantity, but you can also enter it manually if the receipt only shows the unit price.
  • Currency * — pick from the dropdown. Required.
  • Cost Center — optional, for accounting reports.

Step 7 — Save

Top-right, click the purple Save. Or Save & Add New to immediately log another. A green confirmation toast appears in the bottom-right and you’re returned to the Refuellings list with the new entry at the top.
