How to record a mileage entry
Movcar’s Mileage section is the source-of-truth for every vehicle’s running odometer. You’ll use it to:
- Spot vehicles that are approaching scheduled maintenance.
- Generate distance-driven reports for accounting or leasing.
- Calculate fuel efficiency (litres per 100 km).
📌 You may not need to log mileage manually — every refuelling you log automatically creates a mileage entry (see the “Register value also in Mileage section” checkbox in How to log a refuelling). For most fleets, the refuelling odometer is enough. Use this article when you need to log mileage outside of a refuelling — e.g. monthly snapshots, service-visit readings, or end-of-leasing inspections.
Step 1 — Open Mileage
From the left-hand menu, click My Fleet → Mileage.

/admin/resources/vehicle-mileages. Same thing.
Step 2 — Click “+ Add”
Top-right corner, click the purple + Add button. The form is short — five fields.
Step 3 — Fill in the three required fields

Date * | The date the odometer was read. Defaults to today. |
Vehicle * | Pick from the dropdown. |
Odometer * | The reading in km. Must be greater than the previous reading for that vehicle — Movcar shows a validation hint and refuses to save lower values. |
Step 4 — Optional details
- Notes — free text, e.g. “End-of-lease inspection by Arval” or “Pre-service reading”.
- Attachment — photo of the dashboard, leasing inspection form, etc.
Step 5 — Save
Top-right, click Save. A green confirmation toast appears in the bottom-right and the new mileage row appears at the top of the list, sorted by date.
What if the new odometer is lower than the previous?
Movcar refuses the save and shows: “Odometer value should be greater than the previous one.”
That’s almost always a typo (e.g. you typed 12,000 instead of 120,000). Fix the value and save again.
If it really is lower — typically only when an odometer has been replaced after a fault — the cleanest fix is to delete the most recent older entries first, or contact Movcar support to reset the running total.

- Set up an annual mileage cap (Contracted mileage on the vehicle profile) so Movcar flags vehicles approaching the limit
