Linking a fuel card to a vehicle or driver

Every fuel card in Movcar can be linked to either a vehicle (the card stays with the car) or a driver (the card stays with the person). The link drives several things:

  • Mobile app visibility — drivers see only the cards relevant to them.
  • Refuelling shortcut — when a driver logs a refuelling on their phone, Movcar pre-selects the card linked to that vehicle or driver.
  • Cost attribution — reports can group fuel spend by vehicle or by driver.

You can change the link at any time.

Which pattern fits your fleet?

PatternWhen to use it
Card → VehicleThe card lives in the vehicle and any driver who uses that vehicle uses the card. Most common for company fleets.
Card → DriverThe card belongs to a specific person regardless of which vehicle they drive. Typical for managers, sales reps, or owner-operators.
BothYou can also link a card to both a vehicle and a driver — only that driver can use that card on that vehicle. Narrower control.

Setting the link when you create the card

If the card is new, the easiest place to set the link is the Assign fuel card to section at the bottom of the Add form:

  • Vehicle — click the dropdown and pick the vehicle.
  • Driver — click the dropdown and pick the driver.

Changing the link on an existing card

  1. Open My Fleet → Fuel cards.
  2. Find the card and click the pencil ✏️ to edit.
  3. Scroll to Assign fuel card to at the bottom.
  4. Pick a new Vehicle and/or Driver — or clear the field to remove the link.
  5. Click Save.

💡 Tip — Switching a card from one vehicle to another doesn’t move past refuellings. They stay attributed to whichever vehicle was linked at the time the refuelling was logged.

How drivers see the linked card in the mobile app

Once a card is linked:

  • A driver logged into the Movcar mobile app sees the card under Fuel cards if it’s linked to them or to a vehicle they’re using.
  • When they log a refuelling, the card is pre-selected.
  • If Visible for Drivers is unchecked on the card (see Edit a fuel card), the card stays hidden even if linked — useful for cards you want admin-only.
