How to add a new driver
Drivers in Movcar represent the people who operate your vehicles — employees, contractors, owner-operators. Adding a driver unlocks vehicle-to-person attribution (whose mileage is this?), driver-licence-expiry reminders, and the Movcar mobile app which transforms manual data entry into automatic logging.
Step 1 — Open Drivers
From the left-hand menu, click My Fleet → Drivers. You’ll see your current drivers list with tabs Drivers folder and Drivers with App at the top, plus KPI cards (Total drivers, In trial, Employed, Contracted, In notice period, Inactive).
📌 URL note — the menu says “Drivers” but the URL is
/admin/resources/fleet-drivers. Same thing.
Step 2 — Click “+ Add”
Top-right, click the purple + Add. The new-driver form opens — fairly long but only 3 fields are required.
Step 3 — Fill in the required fields
| Field | Notes |
|---|---|
First name * | The driver’s first name. |
Last name * | Surname. |
Status * | Pick from: In trial, Employed, Contracted, In notice period, Inactive. Defaults to Employed. |
That’s the minimum to save a driver. But you’ll almost certainly want to add more.
Step 4 — Contact info (highly recommended)
| Field | Why it matters |
|---|---|
| Primary email | Required for the mobile app. Movcar uses this to send the app connection code. Without it, the driver can’t pair their phone. |
| Secondary email | Optional fallback (e.g. personal email for someone whose work email might change). |
| Primary phone | For SMS notifications and contact. |
| Secondary phone | Personal phone, family contact, etc. |
| Personal ID | National ID number — useful for compliance and customs paperwork. |
Step 5 — Driving licence info (enables expiry reminders)
| Field | Notes |
|---|---|
| Driving license number | Free text. |
| Driver license expire date | Date picker. Movcar shows a red/green pill on the Drivers list and sends a reminder before it expires. |
Step 6 — Employment info
- Internal ID — your own ID for the driver (e.g. payroll number).
- Department — e.g. Marketing, Sales, Logistics. Free text — used to group drivers in reports.
- Employment Start — date the driver joined.
- Employment End — leave blank for current employees. Set it when they leave, then change Status to Inactive.
Step 7 — Addresses (two of them)
The form has two address blocks — typically:
- Residential address (where the driver lives).
- Work / billing address (where their workplace is, or where Movcar should bill if the driver pays for their own subscription).
Each block has:
- Street name and number
- Postal code
- City
- Country
- Notes (free text for whatever doesn’t fit)
Fill in whatever applies. Both blocks are optional.
Step 8 — Save
Top-right, click the purple Save. The driver appears at the top of the Drivers folder list.
What to do next
The driver is created, but not yet useful. Most teams immediately:
- Assign the driver to one or more vehicles — either set the driver in the vehicle’s profile, or set the vehicle in the driver’s profile.
- Generate a Driver’s App Connection code and send it to the driver — see How to connect a driver to the Movcar mobile app. This is the highest-leverage step.
- Upload the driver’s licence as a document — see Storing driver licences and documents.
What’s next?
- Edit a driver’s details — if you need to change anything
- Connect a driver to the mobile app — generate and send the pairing code
- Storing driver licences and documents — upload scans for compliance
